Real numbers, published.
We would rather you know what this costs before you call. Here is what we charge and what makes one business different from another.
Three tiers, and who usually fits where.
1 to 3 accounts. No loans, no payroll, no sales tax. Usually a solo owner with a checking account and a card.
- Every transaction reviewed and categorized
- Every account reconciled to the statement, every month
- Monthly P&L and Balance Sheet by the 15th
- A short plain-English note on what changed and what to watch
- A real person answers, and it is the same person every time
4 to 6 accounts, or any of these: a loan or line of credit, payroll, sales tax.
- Everything above
- Loan payments split correctly between principal and interest, balances tied to the lender
- Payroll recorded so your books agree with your filings
- Sales tax tracked and reconciled monthly
- Job or class tracking, so you can see service lines separately
- We talk to your CPA all year, not just in January
7 or more accounts, multiple entities or locations, ecommerce channels, or heavier payroll.
- Everything above
- Shopify, Amazon, Etsy and Stripe reconciled against actual deposits
- Multiple entities kept clean and separate
Not sure where you fit? Send us your QuickBooks and we will tell you, for free, before you commit to anything.
Why two businesses the same size pay different prices.
Short version: it comes down to how many accounts you have, not how much money you make.
Every account, card, loan and payment processor gets matched to its own statement each month. More accounts, more matching. A busy business with two accounts can be simpler than a quiet one with six.
| What drives it | Why |
|---|---|
| Bank and credit card accounts | Each one gets matched to its own statement every month. |
| Loans and lines of credit | Each payment has to be split between principal and interest, and the balance has to agree with your lender. |
| Payroll | Wages, taxes and withholdings each need to land in the right place, and your books need to agree with your filings. |
| Sales tax | Tracked every month, and it adds up fast if you sell in more than one place. |
| Ecommerce and merchant processors | Shopify, Amazon, Etsy, Stripe, Square. Deposits land minus fees, so they never match your sales number. Each channel needs its own setup. |
| Transaction volume | It matters, just less than the number of accounts. |
| Multiple entities or locations | Each one adds a layer. |
Priced separately, because not everyone needs them.
| Service | Price | What that covers |
|---|---|---|
| Payroll bookkeeping | $200/mo | Up to 5 employees, then $10 each. Your payroll software, Gusto or QuickBooks Payroll, is separate and you pay them directly. We do not mark it up. |
| 1099 prep and filing | $150 | Includes up to 10 contractors, then $15 each. W-9s collected as you hire, all year, not chased in January. That year-round tracking is the actual work. |
| Sales tax filing | $100 | Per return, per jurisdiction. |
| QuickBooks Online setup | $600 to $950 | One time. Chart of accounts built for your business, bank feeds connected, loans set up properly, ecommerce and processor mapping done right the first time. Your QuickBooks subscription is separate and you pay Intuit directly. |
| Year-end and CPA coordination | Included | Included with monthly bookkeeping, always. |
From $1,800. Here is why the range is so wide.
The first question is usually how far behind you are. That matters, but it is actually the last of the four things that set the price.
| # | What sets the price | |
|---|---|---|
| 1 | Are business and personal mixed together | This is the big one. When both run through the same account, every transaction has to be judged before it can be categorized. That means looking at each one instead of sorting them in batches, and it affects your equity too. A mixed-together year usually runs two to three times a tidy-but-behind year. |
| 2 | How many accounts have to be reconciled | One account behind a year is very different from four accounts behind a year, even though both sound the same when you say them out loud. |
| 3 | What condition the file is in | Loans never set up properly. Payroll entered as one lump sum. Sales tax never tracked. Duplicate transactions from a bank feed added twice. Missing statements. None of it is unusual, and all of it takes time to unwind. |
| 4 | How many months | It matters, but it is usually the smallest piece of the puzzle. |
Two businesses can both be twelve months behind and be an $1,800 job and a $9,000 job. The difference is not the calendar. It is what is underneath.
Twelve months behind
- One checking account, one credit card
- No loans
- No payroll, no sales tax
- Business and personal kept separate
- All statements available
- Categories messy, but nothing structurally broken
Straightforward. Just needs someone to sit down and do it.
Also twelve months behind
- Four bank accounts and two credit cards
- Two loans that were never set up right, balances off
- Payroll entered as lump sums
- Sales tax never tracked
- A Shopify store and a Stripe account that never tied out
- Business and personal on the same card
- Three months of statements missing
A lot more accounts, a decision on nearly every line, and some rebuilding before the catching up can even start.
That is why we look first and quote second. We would not feel right giving you a number before opening the file.
Only a few months behind, with one or two accounts and nothing tangled? That is a much smaller job, and we will tell you so. Please still reach out.
Most cleanups finish in 4 to 8 weeks once we have your statements. We take 50% to start and the balance on delivery. If we open a file and find something we could not see from the outside, we stop and talk to you before doing the work, never after.
More on this: what a QuickBooks cleanup actually involves.
Five things that are not prices.
| Month to month. | No long contract, no cancellation fee. If it is not working, tell us and we part as friends. |
| You own your QuickBooks file. | Always. If you ever leave, it leaves with you. |
| Taxes are not our lane. | We keep your books clean so your CPA has what they need, which usually makes your return faster and cheaper. Need a CPA? We work alongside great ones. |
| Pricing is reviewed once a year. | If your business grows and your books get more complex, we will talk about it then, in the open. No surprise invoices. |
| The first look is genuinely free. | We open your books, tell you honestly what we find, and give you a number. No obligation and no pestering afterward. |
