This Privacy Policy explains how True North Co. Bookkeeping ("True North," "we," "us"), located in Hugo, Minnesota, collects, uses, stores and protects information through our website at truenorthcobookkeeping.com and our client portal, the True North Portal, at app.truenorthcobookkeeping.com (together, the "Services").

Information we collect

Information you provide

• Contact and business details you share with us (name, email, phone, business name and related information).
• Documents, statements and files you upload to the portal, and messages you send through it.
• Information submitted through our website contact form.

QuickBooks Online data (with your authorization)

If you engage us for bookkeeping services and authorize a connection between the True North Portal and your QuickBooks Online company through Intuit's secure sign-in, we access the following data on a read-only basis:

• Company information (such as company name and settings),
• Your chart of accounts,
• Account balances (bank, credit card, loan and other balance-sheet accounts),
• Transaction volume counts, and
• Financial reports (Profit & Loss and Balance Sheet).

The portal does not create, edit, categorize or delete anything in your QuickBooks company. We never see or store your QuickBooks password — the connection uses Intuit's OAuth authorization system.

Technical information

Like most online services, our systems keep basic technical logs (such as sign-in and activity records) needed to operate the Services securely.

How we use information

• To provide bookkeeping services: reviewing and preparing your books, supporting your monthly close, and scoping the work involved.
• To operate, secure and improve the Services.
• To communicate with you about your engagement.

We do not sell your information, and we do not use your information or your QuickBooks Online data for advertising.

How QuickBooks data is stored and protected

• QuickBooks authorization tokens are encrypted at rest using AES-256 encryption and are kept in a restricted datastore that user accounts cannot read.
• Data retrieved from QuickBooks is stored in an access-controlled database with role-based permissions. Only the firm personnel who work on your books can view it; clients can only ever access their own information.
• Data is transmitted over encrypted connections (HTTPS/TLS).
• No method of storage or transmission is completely secure, but we work to protect your information using measures appropriate to a professional bookkeeping practice.

How information is shared

We do not sell or rent your information. We share it only with:

• Service providers that host our infrastructure (such as our cloud database and hosting providers), solely as needed to operate the Services;
• Intuit, to the extent necessary to maintain the QuickBooks Online connection you authorized; and
• Authorities, if required by law.

Retention and deletion

• We retain your information for the duration of our engagement and as needed for professional recordkeeping.
• When a QuickBooks connection is disconnected, its stored authorization tokens are deleted immediately and our access is revoked with Intuit.
• You may request deletion of your information by contacting us; we will honor the request except where retention is required for legal or professional-records purposes.

Disconnecting QuickBooks access

QuickBooks access can be ended at any time, in either of two ways:

• We can disconnect the connection from the True North Portal, which revokes our access with Intuit and deletes the stored authorization tokens; or
• You can revoke the connection yourself from your own Intuit account security settings (connected apps).

Children's privacy

The Services are for businesses and are not directed to children under 13. We do not knowingly collect information from children.

Changes to this policy

If we make material changes to this policy, we will update this page and its "Last updated" date.
